This Refund Policy explains our policy regarding refunds for Simpler Recycling Audit subscriptions. We aim to be fair and transparent about when refunds are available.

1. General Policy

Due to the nature of our digital service and immediate access to compliance features upon subscription, we operate a no-refund policy for subscription fees under normal circumstances.

When you subscribe to Simpler Recycling Audit:

  • You gain immediate access to all features of your subscription tier
  • You can upload documents and generate compliance reports immediately
  • Your subscription is considered "used" from the moment you gain access

2. Cancellation Terms

You may cancel your subscription at any time through your account settings. Upon cancellation:

  • No refunds will be provided for the current billing period
  • You will retain access to the Service until the end of your paid period
  • Your subscription will not automatically renew
  • Your data will be retained for 2 years as outlined in our Privacy Policy unless you request deletion

Example: If you subscribe on January 1st for a monthly plan and cancel on January 15th, you will not receive a refund for the remaining days. You will continue to have access until January 31st.

3. Exceptions - When Refunds May Be Granted

We may consider refund requests on a case-by-case basis in the following exceptional circumstances:

3.1 Technical Issues

If you experience significant technical problems that prevent you from using core features of the Service, and we are unable to resolve them within a reasonable timeframe (typically 7 business days), you may be eligible for a prorated refund.

To qualify:

  • You must report the issue to support@simplerecyclingaudit.co.uk within 48 hours of encountering it
  • You must cooperate with our support team to troubleshoot the issue
  • The issue must be on our end, not due to your equipment, internet connection, or browser compatibility

3.2 Duplicate or Accidental Charges

If you are accidentally charged twice for the same subscription period, or if an unauthorized charge occurs due to an error on our part, we will issue a full refund for the duplicate or erroneous charge.

3.3 Service Not as Described

If the core functionality of the Service materially differs from what is described on our website and in our marketing materials, you may request a refund within 14 days of your initial subscription.

This does not apply to:

  • Features marked as "coming soon" or "planned"
  • Minor differences in appearance or user interface
  • Your business-specific compliance requirements that the Service does not address

3.4 Extenuating Circumstances

We recognize that exceptional situations may arise. If you have experienced circumstances such as:

  • Business closure due to unforeseen events
  • Serious illness or bereavement
  • Other documented hardship

4. Annual Subscriptions

For annual (12-month) subscriptions:

  • No refunds are provided after the first 30 days of the subscription period
  • Within the first 30 days, you may request a refund if the Service does not meet your needs, subject to review
  • If granted, the refund will be prorated based on the number of months remaining in your subscription
  • You must not have generated more than 5 compliance reports or uploaded more than 20 documents to qualify

5. How to Request a Refund

If you believe you qualify for a refund under the exceptions listed above, please:

  2. Include your account email address and business name
  3. Provide a clear explanation of why you are requesting a refund
  4. Include any relevant screenshots, error messages, or documentation

We will review your request and respond within 5 business days.

6. Refund Processing

If your refund request is approved:

  • Refunds will be processed to the original payment method used for the subscription
  • Processing typically takes 5-10 business days, depending on your bank or card provider
  • You will receive a confirmation email once the refund has been issued
  • Your access to the Service will be terminated upon refund processing

7. Chargebacks

If you initiate a chargeback through your bank or card provider without first contacting us:

  • Your account will be immediately suspended
  • We will provide evidence to your bank/card provider regarding the charge
  • You may be liable for chargeback fees and administrative costs
  • Future access to the Service may be denied

We strongly encourage you to contact us first at support@simplerecyclingaudit.co.uk before initiating a chargeback. We are committed to resolving billing disputes fairly and promptly.

8. Changes to This Policy
